Setting up Clients and Projects
This article explains how to create entities (called Elements) in Memtime Projects, how to assign users and share projects, and best practices for structuring projects. You will also learn about activity types, statuses, and how changes are reflected in Memtime.
The Project Management section in Memtime Projects contains all information regarding Elements and their settings. This section has two views:

Elements – where you can see, manage, and create entities.

Settings – where you define the hierarchies, element types, activity types, statuses, and more.
Step 1: Understanding Settings
Settings are accessed via the cogwheel button in the top-right corner, next to the + button.

This section is the backbone of project management, allowing you to define:

Element hierarchies
-
Element types (Customer, Project, Task, Matter, etc.)
-
Activity types
-
Statuses
-
Billable hours
Settings are similar to those in Memtime Projects Local (Offline), with additional features for custom hierarchies.
Presets
When you land on the Settings page, you will see five presets and a Custom option.
Presets define a basic hierarchy like:
Customer → Project → Task

You can also set default values for new elements:

Activity selector on time entries – allows activity selection for new time entries

Billable flag on time entries – enables billable/non-billable selection
-
Statuses – whether statuses appear on elements

Time can be logged against – by default, only the last element type in the hierarchy allows time logging

Custom Settings
The Custom option allows you to define your own element types and hierarchies:

Create and name any element type
-
Nest elements under any other type via drag-and-drop
-
Rearrange hierarchies at any time
-
Save changes to apply them to future element creation

Note: Saved hierarchies do not affect already created elements. They will be available for selection when creating new elements, and will apply to filters, searches, and integrations.
Exporting Your Memtime Projects (Local) entities to the Cloud
If you’ve been using the local or offline version of Memtime Projects, you can now export your projects, clients, and tasks directly to the cloud version. Follow these steps:

Open your Memtime app.

Go to Menu > Connected Apps > Memtime Projects Local.

Scroll down until you see the “Export Data” option.

Click Export Data. Your projects, clients, and tasks will be automatically exported and made available in the cloud version.
Once the export is complete, you can access your full structure from any device via the cloud.
Step 2: Creating Elements (Entities)
The Elements tab displays all entities at a glance, including:

Child & parent relationships (expand/collapse)

Assignees
-
Status (if enabled)
-
Total logged hours and billable hours
You can perform actions such as:

Create Elements
-
Search
-
Filter (by user or status)
-
Sort
-
Show/Hide Archived Elements

All displayed elements follow the hierarchies defined in Settings.

Element Creation Modal
When creating elements, you can:

Assign multiple users
-
Add icons (predefined or custom upload)

Access advanced settings (collapsed by default)

Saving Options:

Normal Save – creates the element
-
Save & Save as Template – creates element and template for future use

Step 3: Activity Types, Statuses, and Billable Hours
Activity Types
-
Work the same way as in Memtime Projects Local (Offline).

Can be created in Settings, during element creation, or during time entry creation
-
Examples: Billable work, Non-billable work, Time of absence
-
Each activity type must have a unique name

Users can create multiple statuses and customize names and colors

Displayed as colored dots on elements
Setting statuses in Memtime Projects helps track progress and clearly show what’s in progress, completed, or pending, making project management more organized and transparent.
Billable Hours

Elements display the sum of all logged hours

Also shows billable hours separately

Best Practices & Naming Conventions

Use clear hierarchical naming: Client → Project → Task
-
Include project codes or abbreviations for quick identification
-
Maintain consistent naming across team members
-
Assign users responsibly to avoid duplication and ensure accountability
How Changes Reflect in Memtime

Changes in Settings (hierarchies, element types, activity types, statuses) will apply to new elements
-
Existing elements remain unaffected unless manually updated
-
Saved hierarchies are used for filters, searches, reporting, and integrations
